MEET SANCTION INFORMATION

SANCTIONS and APPROVALS

What has changed? 
During the Annual Business Meeting in April 2026, the House of Delegates voted to establish a formal partnership with USA Swimming to facilitate the direct issuance of sanctions through the SWIMS platform. Consequently, Wisconsin Swimming has ceased issuing sanctions and approvals for swim meets. 
  • USA Swimming created a new form in the Club Portal for teams to enter their meet into SWIMS, attest to all sanction rules and conditions, and receive a sanction directly from USA Swimming.​
  • The generated sanction document is only part of a meet announcement; teams must still provide a complete Meet Packet containing host-specific details (Fees, Order of Events, Schedule, etc.) alongside the USA Swimming document.​
  • Host club responsibilities now include completing Pre-Meet Athlete Recons and loading Post-Meet Results.
  • Club post-meet reporting requirements (Meet Financial and Meet Report) are eliminated but Meet Referees MUST still submit their Referee Report to the Officials Committee within 7 days.​

NOTE: Anyone submitting for a sanction must have admin credentials to login to your Club Portal on the USA Swimming SWIMS site.  Please reach out to your team administrator to get this set up.  Payment for the sanction fee (credit card only) must be made before the sanction number will be issued.

ADD A MEET TO THE WSI SCHEDULE & CHAMPIONSHIP BIDS

Adding a meet to the OFFICIAL WSI SCHEDULE  - (Formerly Meet Bid) LSC and non-LSC Teams may submit a meet to be added to the Official WSI Schedule twice a year; once for Short Course (Fall/Winter) season and once for Long Course (Spring/Summer) season.  The timeline above gives the window of when WSI will accept scheduled meet submissions.   WSI will be accepting submissions for the Long Course 2027 schedule beginning SEPT 20, 2026.  Deadline to submit a meet for the Long Course Season (April - Aug 2027) is 11:59 pm, OCT 13, 2026.   

Championship Meet Bid Form - Bids for 2028 Regionals or State Championship Meets will be open March 15, 2027.

MEET FORMS and REPORTS

Coach Sign-In Sheet   All coaches MUST sign in EACH DAY to be on deck at ANY meet.

  • A meet host representative must verify USAS certified coach credentials at SIGN IN at Sanctioned or Approved meets.
  • Screenshots of membership cards CANNOT be accepted.
  • If a coach is unable to provide proof of membership or is not in good standing, he/she should not be allowed on deck.  Allowing a coach on deck that does not have a valid membership may invalidate the sanction.
  • Coaches who are not USAS certified may be on deck only at Approved Meets and must still sign in.

Meet Reservation Form   If a team is accepting reservations for their meet, use this form to secure your attendance.

Para Athlete Accommodation/Modification Form   Complete this form and present it to the Meet Referee or Director.  It can be retained and used for all meets that the athlete competes
